We sat down with David Lewerke, director of office productivity practice within consulting services at Insight, to discuss four major benefits of this cloud-based suite of software.

Bypassing labor-intensive and expensive migrations

Lewerke says Office 365 provides a fantastic opportunity to avoid a costly hardware refresh and the intensive labor around an Exchange upgrade by offloading that workload to the cloud-based suite of software. Whether it’s Exchange or SharePoint, your company will be able to focus on the business instead of being distracted by the infrastructure and migrations.

Reducing storage needs and frustration

It’s not uncommon for a company to use email as the primary mechanism for communication and collaboration, attaching files in emails. Office 365 enables SharePoint and OneDrive, providing seamless ways to share documents, reduce confusion and decrease storage costs. Lewerke says that one client has revolutionized how they operate by sharing links instead of email attachments through their use of these tools. “The enterprise has been able to increase their productivity by using Sharepoint’s capabilities as a single repository for their assets. Because of its versioning capabilities, they know which copy is most up to date. They also don’t need to search their emails to find their documents so their assets are easily accessible, reducing wasted time and frustration.”

In driving consistency and confidence throughout the enterprise, a larger effect materialized — they saw a reduction in emails sent. So far, the company has been able to reduce emails with attachments by more than 40% as well as reduce email storage, which still included archiving, from 35 terabytes to 27 terabytes. “Reducing the size of that footprint has a real impact on the cost of the storage required,” Lewerke says.

Whittling away at workloads

When Insight engages with a client, there’s quite a bit of coordination that occurs between sales engineers, project managers and practice architects. “In the past, we had to share Excel spreadsheets, project plans and PowerPoint presentations,” explains Lewerke. He says that it was hard to understand where everyone was at, and they often spent time meeting to sync up with each other.

“Taking our own advice, we’re now creating a notebook for every client with OneNote, allowing everyone on the team to dynamically and simultaneously update the document,” he says. In having built-in version control and the ability to analyze a project’s real-time status, Lewerke estimates that this change has produced about a 30% reduction in overall workload.

Turning a cost-saving solution into a revenue stream

“In IT, one of the challenges for CIOs is to provide value to their peers and their organization,” says Lewerke. He adds that in a market of shrinking margins, increased demands and fewer resources, IT departments need to come up with ways to be a value provider, turning their cost center into a cost-neutral center at the very least. However, some companies are using charge-back models to turn their department into a profit center.

Lewerke points to one enterprise client with multiple different entities that are independently owned and operated. “The company is implementing this cloud-based software solution as a single tenant approach to provide Office 365 services to the many divisions within the enterprise,” he explains. Through their charge-back model, Lewerke says they’ll be able to provide these same services to the other units at a lower price than what it would cost for them to purchase Office 365 independently, and the corporate body can make a small margin, turning a cost into a revenue stream.
