The company needed to launch a smartphone program that would allow for secure messaging between its clinical patient care teams. It also wanted to establish a mobility platform to improve clinical workflows and patient outcomes.
Though the organization began this initiative with another partner, it was unsatisfied with the vendor’s performance and cost structure, and began searching for a new provider through an RFP process. Insight was selected over other competitors based on our existing relationship with the organization — and our deep expertise in supply chain and mobile program development.
Customization is key.
Although our teams had experience executing similar deployment projects, working with a client that encompasses more than 180 hospitals, each with dozens of departments and various types of end users, would require appropriate tailoring in order to maximize benefits. We needed to be sure that each device deployed was configured and delivered to the right clinical team member. Sustainability and cost control were additional concerns that needed to be addressed in the solution design.
To deliver on these requirements, we developed a custom labeling scheme specific to each hospital. This eased the burden on receiving coordinators and helped ship devices quickly and efficiently. We also redesigned our shipping boxes to accommodate 30 phones per box in order to reduce waste and packaging costs.
Automation and specialization
Each device needed to be properly set up for each end user — 24,000 phones needed to be refreshed and roughly 70,000 new devices needed to be deployed within two years. After determining that automation would provide the efficiency and accuracy demanded at this scale, our mobility engineers developed custom Python and Swift scripts. This included:
- Automated device preparation before enrollment (erasing, updating and assigning Apple Device Enrollment Program profiles)
- Automated enrollment into Workspace ONE and device supervision via Apple Business Manager
- Additional automated tasks leveraging Workspace ONE API hooks
- Automated health check to ensure that a device is in the desired state before workflow completion
These specialized services were performed either in our state-of-the-art Mobility Lab or on-site.
Our lab facility offers multilayered security and is ISO 9001:2015 certified. Using OEM-approved tools and processes, our lab engineers can provision more than 800 mobile endpoints per shift, providing cost-effective quality and speed.
Since the client needed all refreshed devices to be replaced on-site, we leveraged our healthcare credentialed deployment staff to perform the on-site services.

Insight Managed Mobility offers end-to-end services. As a result, the client enjoys a single source for fast procurement of all devices, cases, chargers and other accessories. Our provisioning process is streamlined and error-free. This means that device reporting, repair and refresh processes have been vastly simplified, reducing time and associated device lifecycle costs.
Our team continues to receive order waves of 1,000–5,000 devices. The Mobility Lab can deploy 1,500 or more devices per week, providing fast fulfillment of client requests. Insight is also developing a mobile provisioning cart that will allow the client to re-provision units on-site at scale. We currently support approximately 100,000 iOS devices for the organization.
The communication capabilities now available to clinical teams are significant. Doctors, nurses and other clinicians can send secure messages regarding patient health and treatment plans. If a patient’s status changes, members of the care team may be instantly updated. As clinicians move throughout the hospital, they’re always reachable and equipped to collaborate. And patients benefit from faster, coordinated responses and more engaged clinical teams.
Ultimately, the client now has a sustainable and scalable mobility program in place. Compared to the initial costs offered through its previous partner, the client will now realize more than $3 million in cost savings each year. And, this figure will only continue to grow for each device, clinician and hospital the client adds to their organization.
